Using Notion Content in Contexts
Once you've connected a Notion workspace →, its pages and databases become available inside the context builder.
Selecting Notion content in a context
- Open or create a context in Data Sources →
- In the Files section, expand the Notion panel
- Click your connected workspace to open the content browser
- Use the All / Pages / Databases filter and the search box to find items
- Check the pages and databases you want to include
- Save the context — selected items are queued for ingestion immediately

Pages vs databases
Pages are synced as their full block content — all text, headings, lists, tables, code blocks, and nested toggles are extracted and embedded. Images, videos, and embeds are skipped.
Databases are synced as a structured list of row properties — title, text fields, selects, dates, checkboxes, and similar. The rich content inside individual database rows is not fetched by default. To include that content, sync the individual pages that make up the database rows.
Processing status
After saving, each synced item shows a status badge in the file list:
| Status | Meaning | |---|---| | Queued | Waiting to be processed | | Processing | Content is being fetched and embedded | | Synced | Ready to use in meetings | | Failed | Processing failed — re-save to retry |
Processing typically completes within 30 seconds for pages and a few minutes for large databases.
Keeping content up to date
CoAgentor registers a webhook with Notion when you connect a workspace. When a page is created, updated, or deleted, CoAgentor automatically re-queues it for re-processing.
Database row changes do not currently trigger automatic re-sync due to a limitation in the current Notion API. To manually re-sync a database, open the context, deselect and re-select the database, and save.
Tips
✅ Share specific pages with the integration rather than top-level workspace sections — Notion only grants access to what you explicitly share
✅ For large databases, consider syncing the individual page rows that contain the content you need rather than the database summary view
❌ Image-only pages will fail processing — ensure pages have readable text content before adding them
