Using Google Drive Files in Contexts

Once you've connected a Google Drive account →, you can pick specific files from that account when building any context. CoAgentor uses Google's own file picker — you choose exactly which files to share, and only those files become available to your agents.

Selecting Drive files in a context

  1. Open or create a context in Data Sources →
  2. In the Files section, expand the Google Drive panel
  3. Click your connected account email to reveal the picker button
  4. Click Choose files from this account — Google's file picker opens in a modal
  5. Browse, search, or navigate folders within the picker (including Shared Drives if you have access)
  6. Select one or more files and click Select
  7. The picked files appear in your staged selections — save the context to download, process, and index them

You can mix Drive files with uploaded files and files from other connectors in the same context — they are all retrieved together as a single pool.


Supported file types

Google Workspace native formats are automatically exported to standard formats before indexing:

Standard files — PDF, DOCX, XLSX, CSV, TXT, MD, and others — are downloaded directly. The picker is automatically filtered to show only file types CoAgentor can ingest, so anything you can pick is supported. See the full supported formats list →.


Automatic sync for picked files

When a file you've picked into a context is edited in Drive, CoAgentor automatically re-downloads and re-indexes it within minutes. You don't need to re-save the context or manually trigger anything — change notifications come from Drive directly.

If a file is moved to Trash in Drive, CoAgentor marks it as failed with a note that the source was deleted. Remove it from the context and pick a replacement if needed.

Files added to a folder later won't auto-sync. Because CoAgentor only ever sees the files you've explicitly picked, a new file added to a folder you previously picked from is invisible to CoAgentor until you open the picker again and add it.


Removing a Drive file

To remove a Drive-sourced file from a context:

  1. Open the context
  2. Find the file in the file list (Drive files appear alongside your other files)
  3. Click the trash icon next to the file
  4. Confirm — the file is removed from the context and deleted from CoAgentor's storage

This does not affect the original file in your Google Drive.


Tips

✅ Use Drive for content that changes frequently — edits sync automatically without any action on your part

✅ Google Docs are a great fit — they're exported to DOCX and indexed in full

✅ Re-open the picker any time you want to add more files from the same account — it's the only way to grow a Drive-sourced context

❌ Avoid picking very large spreadsheets as whole files — extract and upload the relevant sheet instead for more focused retrieval
